ORANGE COUNTY
BOARD OF COMMISSIONERS
ACTION AGENDA ITEM ABSTRACT
Meeting Date: June 26, 2003
Action Agenda
Item No. ~ - ~~
SUBJECT• Bid Award Moving House at 611 Yorktown Drive
DEPARTMENT: Purchasing/ Public Works/ PUBLIC HEARING: (YIN) No
Recreation/ERCD
ATTACHMENT(S):
Bid Tabulation
INFORMATION CONTACT:
Pam Jones, '245-2652
Wilbert McAdoo, 968-2885
TELEPHONE NUMBERS:
Hillsborough 732-8181
Chapel Hill 968-4501
Durham 688-7331
Mebane 336-227-2031
PURPOSE: To consider awarding a bid to move the structure presently located at 611 Yorktown
Drive to the Little River Park.
BACKGROUND: Through a hazard mitigation grant from FEMA, the County acquired houses prone
to flooding in the Heritage Hills subdivision at 609 and 611 Yorktown Drive. The house at 609
Yorktown has been deconstructed, with many of the materials stored for use in future projects. The
Board chose to relocate the house at 611 Yorktown to Little River Park to serve as a caretaker's
house after the park is completed.
Staff developed detailed specifications to ensure the County's needs were met. Eleven vendors were
solicited for Orange County's bid number 1321 and the solicitation was advertised on the County's
website. A pre-bid conference held and was attended by one vendor; two responded with bids.
Pursuant to the attached bid tabulation, Sustainable Living Incorporated of Chapel Hill, North Carolina
submitted the lowest responsible bid that was responsive at a total delivered cost of $23,000.
The successful bidder will commence the moving process immediately upon bid award; however, the
house will not be actually removed from the site until August 14. The moving process involves a
number of steps including, but not limited to the following:
Within a few days following the bid award, the contractor will:
o Notify residents on Yorktown Drive of the plans to move the house; and
o Notify the residents again within a day or so of the actual move date to ensure vehicles
are in off street parking in order to avoid damage as the house is pulled down the street.
• Map out a suitable course and gain approval from DOT
• Agree upon a mutually acceptable move date
• Coordinate with all jurisdictions that will be involved
