Carahsoft Technology Corporation June 1, <br />2026 <br />Page 3 of 13 <br /> <br /> <br /> <br />• Security granularity will be restricted to library-level permissions. <br /> <br />• RSM understands the requirements to migrate all data to SharePoint Online. <br />• Establish a migration rollout plan by team with dates and expectations from such teams. <br /> <br />Phase III: Review and Sign-off <br /> <br />• RSM will formally review design decisions with Client over the course of two (2) different feedback sessions. <br />• Governance and migration roadmap will be updated based on feedback gathered during the final review session. <br />• Client is expected to sign-off on the agreed-upon content migration and governance strategy upon completion of <br />this phase. <br />Phase IV: Migration Execution <br /> <br />RSM will assist with the pilot migration using the free Microsoft Migration Tool. Based on discovery findings, RSM will configure the <br />migration tool to preserve metadata, remap permissions and handle incremental content transfers. After migration, RSM will perform <br />validation checks on content, metadata and permissions. Any issues identified will be resolved prior to go-live. <br />• RSM will host up to five (5) configuration meetings to review how to input the migration mappings for the pilot <br />migration effort and execute and run the full migrations for two (2) initial departments, and support the migration <br />efforts for three (3) additional departments allowing Client to take the lead role on the migrations. <br />• RSM will review the basic configuration features that the free Microsoft Migration tool offers including preserving <br />metadata, remap permissions and incremental content transfers. <br />• Perform validation checks post-migration to confirm: <br />• Content migrated successfully. <br />• Permissions are correctly applied. <br />• Remediate any issues identified during validation before go-live. <br /> <br />• Recommend migration standard practices and scheduling guidance to decrease user and operational impact. <br />• RSM will develop a migration runbook that can be used by Client for future migrations. <br /> <br />• This migration runbook contains a series of steps needed for migration, including mapping, common <br />errors and communication templates. <br />Client will perform the migration process for the remaining departments, utilizing the detailed plan drafted during the planning phase. <br />Client will own the migration schedule, however RSM would encourage a plan that will have minimal disruption to departmental <br />operations and users.
