Activity 2: Preparing for Launch of Initiative <br />TBD Weekly Prep Meetings & Funding Management Tools <br />Clutch will facilitate weekly virtual meetings to prepare and manage the planning and <br />operational tasks necessary to launch an initiative, including preparing detailed lists, <br />workflows, and initiative planning tools and templates to guide local team members. The <br />focus will be to define teams, establish an incident command structure including rehousing <br />team and closure maintenance oversight and tracking protocols, assemble and position all <br />funds and infrastructure necessary to launch initiative. <br /> <br />Deliverables: <br />- Weekly project leadership meetings <br />- Series of internal meetings with partners to confirm funding commitments, detail <br />funding management strategies, spending timeline, staffing capacity etc. <br />- Prepopulated funding and operations management tools (excel) that details <br />funding management plan, contract budgets and projected spending, operational <br />timelines, initiative staffing plan including ramp up and ramp down, etc. <br /> <br />Timeline is dependent on timeline to assemble imitative resources and procurement and <br />contracting timelines. Estimated 100 hours over 2-3 months. <br /> <br /> <br />TBD Initial Community Workshops and Phase 1 Implementation Work Plans <br />Clutch will coordinate with the local team to engage community stakeholders using one or <br />more community workshops to define shared vision, highlight the initiative and <br />leadership’s commitments to eliminating unsheltered homelessness, and prepare plans to <br />execute on practice changes necessary to reach and sustain no unsheltered homelessness, <br />including the creation of a street to home pathway with reimagined coordinated outreach <br />practices to immediately navigate people off the streets, workflows to fully integrate rapid <br />resolution practices, and workflow adjustments to accelerate exits from shelter. <br /> <br />These in-person and virtual sessions can occur over a series of months in preparation to <br />launch or be structured as part of a phased implementation approach where an in-person <br />2-3 day community workshop/provider briefing with the participating service providers is <br />immediately followed by activation of field activities test phase with the support of Clutch <br />coaches. <br /> <br />Timeline and engagement approach is dictated by community norms, procurement <br />timelines and political needs. Estimated 80 hours with travel expenses included (2 trips) <br /> <br /> <br />TBD Targeted Encampment/Unsheltered Response Test Site <br />Clutch will assist partners to test and fully implement direct-to-housing encampment <br />resolution practices to eliminate unsheltered homelessness in the City of Jackson. <br />Following the community workshops, Clutch will assist the community as follows to launch <br />the first site: <br />Docusign Envelope ID: E54A73BB-E871-8CF1-8127-F377104CD7AF
