Document and Data Collection : <br />Our team will request and review a core set of documents, including but not limited <br />to: <br />o Organizational charts and job descriptions <br />o Staff schedules and shift rotations <br />o Appointment and patient flow data <br />o Budget and expenditure reports <br />o Policy and procedure manuals <br />o Compliance reports and audits <br />o Space/facility usage plans <br />The goal is to build a clear picture of the department’s staffing model, workload <br />distribution, physical infrastructure, and regulatory environment. <br />4. On-Site Clinic Observations: <br />We will conduct structured observational site visits at both the Chapel Hill and <br />Hillsborough clinic locations. Our team will shadow workflows at key service <br />stations (e.g., reception, triage, exam rooms, dental operatory, check-out, supply <br />rooms) to: <br />o Identify inefficiencies or delays in service flow <br />o Document spatial constraints affecting productivity <br />o Evaluate staff interactions and role overlap <br />o Understand how equipment, supplies, and space impact clinical operations <br />5. Interviews and Focus Groups: <br />We will conduct confidential interviews and/or facilitated group discussions with <br />key personnel to gather experiential insights on current processes, perceived <br />challenges, and improvement opportunities.
