NON-STIP PMP <br /> August 5, 2025 <br /> CLOSEOUT <br /> Each Non-STIP project is formally closed out by NCDOT upon its successful completion. <br /> Throughout the lifecycle of each project, OCTS staff will ensure timely updates to the Non-STIP <br /> tracking table and GIS map, reflecting progress at key milestones. These tools will be <br /> continuously maintained to provide an accurate, real-time overview of active, pending, and <br /> completed projects. <br /> To support transparency, coordination, and informed decision-making, OCTS will also provide <br /> regular status updates to key stakeholders. These include the OUTBoard, NCDOT, and the <br /> OCTS Director. Updates will be shared through scheduled quarterly meetings and formal <br /> monthly reporting, offering both summary-level and geospatial insights. <br /> Documentation and Final Reporting Framework <br /> • Non-STIP Table and GIS Map Updates <br /> The project tracking table and corresponding GIS map will be updated promptly as each <br /> project progresses and finalized upon project closure to reflect completion status and key <br /> outcomes. <br /> • Quarterly Stakeholder Reports <br /> A detailed quarterly report will be prepared and shared with the OUTBoard and NCDOT. This <br /> report will summarize project milestones, address any issues or delays, and provide updates <br /> on project impacts and performance. <br /> • Monthly Director Updates <br /> The OCTS Director will receive a concise monthly summary, accompanied by an updated <br /> GIS map. This report will highlight project developments, complete work, and anticipate next <br /> steps to support executive oversight. <br /> This structured reporting and documentation process ensures that all Non-STIP projects are <br /> managed with consistency, transparency, and accountability from initiation through to formal <br /> closeout.
