ONE <br /> 2021 GENERAL RECORDS SCHEDULE: LOCAL GOVERNMENT AGENCIES -■■ • NATURA ANDC OF <br /> ■■•■i NATURAL AND CULTURAL RESOURCES <br /> s a 7 <br /> STANDARD 6:LEGAL RECORDS <br /> Official documentation created or accumulated to substantiate the rights,obligations,or interests of the agency or their individual employees or clients. <br /> Please note the confidentiality that G.S. 132-1.1(a)confers to communications by legal counsel expires three years after receipt of such communication. <br /> STANDARD 6:LEGAL RECORDS <br /> ITEM## <br /> RECORDS SERIES TITLE DISPOSITION INSTRUCTIONS CITATION <br /> 6.01 AFFIDAVITS OF PUBLICATION a) Retain in office permanently if record provides sole Authority: <br /> Proof of publication provided by newspapers evidence of publication. G.S. 1-600 <br /> regarding publication of ordinances,public hearings, <br /> bid solicitations,payment of bills,public sales,etc. b) Destroy in office remaining records after 3 years.* <br /> SEE ALSO:Public Bodies: Meeting Notices(STANDARD <br /> 1:ADMINISTRATION AND MANAGEMENT RECORDS). <br /> 6.02 ANNEXATION RECORDS a) Destroy in office withdrawn petitions after 1 year. <br /> Records concerning annexation of property into the <br /> city. Includes petitions, reports,correspondence b) Retain remaining records in office permanently. <br /> (including e-mail),maps,ordinances,and public <br /> hearings. Retention Note:Annexation maps and ordinances must be filed <br /> with the County Register of Deeds office and the office of the <br /> Secretary of State(G.S. 160A-29, G.S.160A-58.61 and G.S. <br /> 160A-58.90).A map must also be filed with the county board of <br /> elections(G.S. 163-288.1). <br /> 6.03 AUTHENTICATIONS Retain in office permanently. <br /> Certificates of authentication issued by the agency. <br /> * No destruction of records may take place if audits or litigation are pending or reasonably anticipated.
