1 <br /> ORANGE COUNTY <br /> BOARD OF COMMISSIONERS <br /> ACTION AGENDA ITEM ABSTRACT <br /> Meeting Date: July 8, 2025 <br /> Action Agenda <br /> Item No. 8-c <br /> SUBJECT: Purchase of Replacement Desktop and Laptop Computers <br /> DEPARTMENT: Information Technologies <br /> ATTACHMENT(S): INFORMATION CONTACT: <br /> PC Replacement Quote Robert Reynolds, 919-245-2276 <br /> PC Replacement Statement of Work David Mathias, 919-245-2272 <br /> Lenovo Certificate of Insurance <br /> PURPOSE: To approve the purchase of 312 Laptop Computers, 108 Desktop Computers, and <br /> 312 Docking Stations, including installation services, from Lenovo to replace aging and <br /> unsupported computer equipment used by staff throughout Orange County government. <br /> BACKGROUND: Information Technologies performs annual replacement of aging computer <br /> equipment throughout County departments. In order to complete this replacement, purchase of <br /> new equipment that supports modern software and operating systems is required to maintain not <br /> only existing functionality within County departments, but to maintain digital security as well. with <br /> this new hardware, the County is able to continue updating the computer fleet. <br /> This item is presented at this meeting to avoid delay in procurement of the equipment. A delay <br /> would result in Extended Service Update licenses needing to be purchased to ensure that <br /> equipment continued to receive software updates and patches. <br /> All equipment is Energy Star Certified and TCO Certified (a globally recognized sustainability <br /> certification for information technology products) to use less electricity and minimize climate <br /> impact. <br /> FINANCIAL IMPACT: Purchase of this equipment, including installation services, totals <br /> $700,386. The Board has previously approved funding for this effort. <br /> ALIGNMENT WITH STRATEGIC PLAN: This item supports: <br /> • GOAL 1: ENVIRONMENTAL PROTECTION AND CLIMATE ACTION <br /> OBJECTIVE 2. Invest in our infrastructure to reduce the environmental impact of the <br /> County fleet/facilities and improve safety. <br /> • GOAL 5: PUBLIC EDUCATION/LEARNING COMMUNITY <br /> OBJECTIVE 3. Provide support for workforce development through training, tools, <br /> technology, and other resources. <br /> RECOMMENDATION(S): The Manager recommends that the Board approve the purchase of <br /> the computer equipment, including installation services, from Lenovo and authorize the County <br /> Manager to sign the contract required for the purchase and any future amendments as may be <br /> required. <br />
