The iCare portal does not <br />require using a prescribed web browser or downloading a proprietary application. Current <br />features of the iCare service portal include proposal requests, work orders, and reporting. <br /> <br />Proposal Requests <br />The iCare portal enables Orange County to create a Request for Proposal (RFP) for all existing <br />or planned facilities globally. This includes the ability to: <br />➢ Select the response required date <br />➢ Enter the requested scope of work <br />➢ Attach all related documents, including a proposal, to the RFP <br />The iCare system provides real-time updates of RFP information and history status, including <br />the timestamps of RFP activity (including date, time, and user). <br /> <br />Work Orders <br />iCare gives Orange County the ability to create preventive or on-request service work orders <br />from one location for all facilities, including the ability to: <br />➢ Select work order priority (P1, P2, P3, P4) and required response time <br />➢ Display site requirements specific to each site/location <br />The iCare system also provides real-time work order information and status updates based on <br />pre-programmed workflows set to meet the customer’s communication requirements. Work <br />order history includes time stamps of work order activity (including date and time) and parts <br />ordered, a description of work performed, and a summary of invoicing and billing. <br /> <br />Reporting <br />With iCare, CCSD will have the ability to request reports by building, campus, or all locations at <br />any time, including: <br />➢ RFP <br />➢ Service/work orders <br />iCare offers Orange County three types of reporting for RFPs: metrics, user statistics, and <br />status reports. <br />➢ Metric Reporting – A quantitative measurement of the response to the user-defined <br />response required date. The reporting period can be monthly and include 12 months <br />from the current month. Metrics available include: <br />o Average dates to submit <br />o Percent of responses submitted on time <br />➢ User Statistics – This reporting period can be monthly and include the prior 12 months <br />from the current month. Information can include RFP request, acceptance, and decline <br />activity by user and in total <br />➢ Status Reporting – This report can be updated in time to reflect changes to the status of <br />an RFP.
