For the purposes of this scope, Orange County Transportation (OCT) is referred to as 'the Client' and WSP is <br /> referred to as 'the Consultant'. <br /> 2. The schedule assumes 1 week of review time for all draft deliverables. <br /> 3. ESRI products will be used to create the maps. <br /> 4. All CTT meetings are assumed to be held on Teams. <br /> S. The Consultant will manage printing and bear all printing costs. <br /> TASK A. PROJECT COORDINATION <br /> Al Project Kickoff <br /> Upon receipt of Notice to Proceed,the Consultant will meet with the Client to discuss project objectives and expected <br /> outcomes, public and CTT engagement schedule and mechanisms, lines of communication, schedule, and identification of <br /> the members of the CTT. <br /> A2 Project Plan and Setup <br /> WSP will create a project plan which will include details of each task and their respective deliverables, project schedule, <br /> data requirements, and review cycles. WSP will create a web-based project control site to house all gathered data, <br /> meeting summaries, and deliverables. Orange County and WSP team members will have access to this site throughout the <br /> duration of the project. <br /> A3 Client meetings: <br /> The Consultant will prepare, facilitate, and document up to 8 regularly scheduled meetings between the Client and the <br /> Consultant to provide regular updates.These meetings can be virtual, or in-person depending on the topic of discussion <br /> and will focus on technical issues, status of each work product and deliverable, and meeting scheduled milestones.These <br /> calls will be up to one (1) hour each and will include participation by the Consultant staff as needed with a total number of <br /> attendees not exceeding two (2) personnel. <br /> A4 Core Technical Team (CTT) Coordination <br /> A CTT will be formed to coordinate on the technical issues of the project.The CTT will consist of one staff member each <br /> from Orange County, DCHC MPO, BG MPO,TARPO, and NCDOT Division 7.WSP will organize a virtual CTT meeting once <br /> every month to present the latest status of the project and solicit their inputs on the technical aspects of the project. <br /> The Consultant will prepare, facilitate, and document up to eight (8) CTT meetings.These project coordination meetings <br /> will be up to one (1) hour each and will include participation by the Consultant staff as needed with a total number of <br /> attendees not exceeding two (2) personnel.The Consultant will prepare meeting agendas, presentation materials, meeting <br /> minutes, and facilitate the meetings.The Consultant may use its subscription to PollEverywhere, a live polling tool during <br /> the meetings to collect CTT input.The Consultant will be responsible for issuing invitations to participating CTT members. <br /> A5 Agency Coordination <br /> The Consultant will organize coordination meetings with local jurisdictions—City of Mebane,Town of Hillsborough,Town <br /> of Carrboro,Town of Chapel Hill, BGMPO,TARPO, DCHC, and NCDOT Division 7 and Region D—to gain insight into local <br /> projects and studies in Orange County. For this purpose,the Consultant will meet with each of the eight(8) <br /> aforementioned agencies no more than two (2)times throughout the project.These meetings may be virtual or in person. <br /> Each meeting will be up to one (1) hour and will include participation of Consultant staff as needed with a total number of <br /> attendees not exceeding two (2) personnel.The Consultant will provide the agenda and the minutes of the meetings. <br /> A6 Presentations to Boards <br /> The Consultant will prepare one (1) presentation towards the end of the project which will be used to present to various <br /> boards and commissioners of all the agencies including that of Orange County.The Consultant will present the material to <br /> 2 <br />
