Orange County Housing Department software conversion to PHA-Web <br />Scope of Work <br />November 15, 2022 <br />Management Computer Services, Inc. (MCS) responsibilities <br />MCS will provide a conversion schedule and training agenda to Orange County Housing Department <br />(OCHD). The conversion will be conducted on a mutually agreeable schedule. PHA-Web training is <br />conducted in two weekly phases, early in the month and at the end of the month. The first date to be <br />determined will be the when the first week of conducted. Once the first week of training is scheduled <br />the conversion process start two weeks prior. <br />Preparation Week (two weeks before first week of training) <br />-MCS will create an account in the PHA-Web software for OCHD. <br />-MCS will work with OCHD staff to create user accounts for OCHD staff in PHA-Web <br />-MCS will work with OCHD staff to get remote access to Emphasys Elite software <br />-MCS will work with OCHD staff to obtain a copy of the SQL database backup of the Emphasys <br />Elite software (if necessary) <br />-MCS will work with OCHD staff to gain access to PIC <br />-MCS will create the required payment file based upon the specifications provided so payment <br />information can be imported into Munis software <br />Conversion Week (one week before first week of training) <br />-MCS will convert data from Emphasys Elite / SQL backup into PHA-Web <br />-MCS will convert data from PIC into PHA-Web <br />-MCS will convert the three years of tenant data into PHA-Web <br />-MCS will convert year to date payment totals into PHA-Web <br />First Week of Training <br />-MCS will training OCHD staff online in the use of PHA-Web software in the following areas <br />o Waiting List <br />o 50058 Certification <br />o Family Manager <br />o Vacated Tenant Manager <br />o Rent Reasonableness <br />o Document Imaging <br />o Portals (if applicable) <br />o Inspections <br />o Letter Writer <br />o Landlords <br />-A detailed training plan will be provided to OCHD at the start of the conversion process <br />DocuSign Envelope ID: 2E8E0CE1-35CF-46D5-81A0-FBDD6A9E5448
