s Zo � '� � Pam [Departmental Use Only] TITLE FY ORANGE COUNTY CONTRACT UNDER $ 10 ,000 . 00 NORTH CAROLINA THIS AGREEMENT, made and entered into this 8th day of March, 2013 , ("Effective Date") by and between Orange County, North Carolina, a body politic and corporate organized under the laws of the State of North Carolina, (the " County " ), party of the first part; and Allison Phillips (the "Provider"), party of the second part; WITNESSETH. For the purpose and subject to the terms and conditions hereinafter set forth, the County hereby contracts for the services of the Provider, and the Provider agrees to provide the following services to the C° - :il n accordance with the terms of this Agreement, time r ; } r_; tips Abe essence : The services and/or materials (hereinafter r4erred LO Collectively as " Services") to be furnished gilder this Agreement are as follows : _ _. _ • Solicit and book group business for Chapel Hill/Orange County hotels and meeting facilities and other venues , with a primary focus on booking hotel room nights in Chapel Hill with each group . • Solicit SMERF ( Social, Military, Educational , Religious , and Fraternal) association, sports and small meetings market. • Under direction of Sales Director, work with UNC , Duke, NC Central, Medical Center, Chamber members , and local clubs and organizations to develop relationships and educate them regarding the Chapel Hill/Orange County hotels , facilities and community amenities . • Conduct direct sales efforts through sales calls, and participation in travel industry activity . • Plan and execute sales missions to Charlotte , Winston- Salem, Greensboro and other Triad cities as determined by Director . • Continue focus with North Carolina Society of Government Meeting Planners . • Produce monthly sales report for CVB Director, including minimum number of sales calls per days as directed . • Utilize CVB database (IDSS) to maintain accurate and detailed records of prospect leads, new business, sales calls , existing client interaction, and group servicing activity. • Produce detailed expense reports at conclusion of each travel mission or sales trip . • Handle pre-determined clients from initial contact through actual booking through the planning process and servicing to the conclusion of their meeting or event. • Research possibility of developing themes for "golf packaging" around Chapel Hill properties . The term of this agreement rendered shall be from March 15 , 2013 to September 14, 2013 . Provider represents and agrees that Provider is qualified to perform and fully capable of performing and providing the services required or necessary under this Agreement in a fully competent, professional and timely manner to the satisfaction of the County. Provider shall be responsible for all errors or omissions, in the performance of the Agreement. Provider shall correct any and all errors, omissions, discrepancies, ambiguities , mistakes or conflicts at no additional cost to the County .
