Mr. Donald Belk <br /> March 3r, r999 <br /> page ? <br /> I should mention that prices for paper, cloth, and film vary over time, so the printing quote attached to <br /> our proposal is only guaranteed for sixty days; actual materials might cost more or less once your book actually <br /> reaches the printing stage. <br /> Another note of explanation: the way we usually arrange the printing process is that BW&A would be acting in <br /> effect as an agent for the Orange County Historic Preservation Commission. We would conduct the bid process <br /> in your name, analyze the results, and make a recommendation: But the final choice of a printer would be up to <br /> the Commission, and we. would then prepare a purchase order in the Commissions name. While we would han- <br /> dle all technical and schedule concerns with the printer for you - the. actual printing billwould be issued to <br /> OCHPC , not to BW &A . [If this process does not fit with purchasing guidelines for Orange County, then were <br /> of course open to other arrangements .] <br /> As for schedule: Based on a start date of May 3rd, 1999 , we have drafted a schedule (enclosed) " for finished books <br /> to ship in December 1999 . This allows for three stages of proof checking. If, for example OCHPC needs more <br /> than three weeks to review first proof (July 23 to August Wi we would be happy to revise this schedule. <br /> And, one final note about photographs . While we are confident of our ability to judge the quality of photos, we <br /> cannot claim to be experts on Orange County history. So we would welcome input from the OCHPC and/or <br /> the authors about the relative importance of particular photographs . How we've arranged this in the past has <br /> been to prepare representative photo sizes (full page, three-quarters' page, half-page, etc. ) , assign a letter to each, <br /> and ask the author or commission to assign letters to the photographs . This process need not be used for every <br /> single photo, but it could be very helpful to us to know which images you'd like to see full-page, for example . <br /> If there any questions about any component of this process, please let us know. If you need any changes in <br /> specifications in order to compare apples to apples, for example, we would be glad to prepare alternative esti- <br /> mates .
