3 <br /> <br />The committed discussed implementing a new process for how we conduct visits and what we do with the visit <br />reports. The following is an outline of the procedure we think would make the visits more targeted and assist with <br />holding the facilities accountable for the issues we identify: <br />1. Review PRIOR visit report individually before conducting the next visit. Having a brief conversation with your visit <br />team before entering would be beneficial. <br />2. Meet with Administrator / person-in-charge PRIOR to beginning formal visit to specifically discuss the items of <br />concern identified on PRIOR report. <br />3. Conduct visit, paying specific attention to the items of concern from prior report (though not to the exclusion of <br />observing new / additional issues). <br />4. Briefly conference with visit team after visit. <br />5. Meet with Administrator/person-in-charge AFTER visit to clearly outline the areas of concern identified during that <br />day's visit. <br />6. Send copy of visit report to administrator after drafted and/or approved (Autumn to clarify whether we can send <br />anything other than approved report). <br /> <br />This proposed protocol, which some of you may do anyway / already, is really just intended to help us monitor the <br />issues we deem most significant and have a formal, written record to help hold the centers accountable for <br />addressing the issues. Please comment, as our intention is not to unilaterally decide something without everyone's <br />input. <br /> <br />The other primary issue we discussed was trying to align the Department of Aging's initiatives with the specific needs <br />of the individual facilities / homes. This objective relates to our past-discussed effort to create a master list of <br />community groups / engagement programs that we could distribute to facilities and / or at least be conversational <br />about (so that we could make informed recommendations / linkages). <br /> <br />The motivation for both of these discussions was an expressed desire to be more than a quasi-regulatory agency / <br />punitive body, but rather, a partner to offer assistance. <br />For the record, Y. Mendenhall has been an amazing example of doing just this. We should really consider trying to <br />adopt this approach. <br /> <br />Will and Annie have a few issues about which they will follow up independently. <br /> <br />Thanks, everyone, for your commitment.
