The CMAR shall schedule and preside over regular site coordination meetings with Subcontractors <br />as conditions on the Project require, but at least weekly. In addition, the CMAR shall conduct <br />weekly progress meetings and other meetings as may be directed by the Owner, at which <br />Subcontractors, the Owner, the Project Designer, other designated representatives, and the CMAR <br />can discuss jointly such matters as progress, scheduling, and construction- related problems. All <br />Subcontractors shall be represented at these job progress conferences by both home office and <br />Project personnel, unless specifically excused by both the CMAR and the Owner. The CMAR shall <br />require attendance from other subcontractors and material suppliers who can contribute toward <br />maintaining required job progress. It shall be the principal purpose of these meetings, or <br />conferences, to effect coordination, cooperation and assistance in every practical way toward the <br />end of maintaining progress of the Project on schedule and to complete the Project within the <br />specified contract time. The CMAR shall be prepared to assess progress of the Work and to <br />recommend remedial measures for correction of progress as may be appropriate. The CMAR with <br />assistance from the Project Designer shall be the coordinator of the conferences and shall preside as <br />chairman. The CMAR shall take and distribute complete minutes of meetings to all attendees and <br />others as directed by the Owner within three (3) days of such meetings. Representatives of the <br />Owner may attend any or all meetings and shall in any case receive all notices and minutes of <br />meetings. <br />25.14. The CMAR shall keep accurate and detailed written records of Project progress during all stages of <br />construction. The CMAR shall maintain a detailed daily diary of all events, which occur at the <br />jobsite or elsewhere, and which affect, or may be expected to affect, Project progress. The diary <br />shall record weather data, including minimum and maximum temperatures, precipitation type and <br />amount, sky conditions, and wind velocities. The diary shall also record all visitors, and include a <br />detailed list of all material deliveries to the site. The diary shall be available to the Owner at all <br />times and shall be turned over to the Owner upon completion of the Contract. <br />25.15. The CMAR shall compile and submit to the Owner daily a summary report consisting of the <br />CMAR's Daily Diary and each Subcontractor's daily report describing the construction activities of <br />the day along with manpower and equipment usage, including that of the Subcontractors. <br />25.16. The CMAR shall submit to the Owner and the Project Designer a weekly report of the status of all <br />Work activities. The CMAR is to submit and conform the report format to the Owner's <br />requirements for these reports and prior to implementation the CMAR must obtain the Owner's <br />approval of the format. The Owner shall have no duty to respond to any information in the periodic <br />reports, unless the CMAR specifically requests a response or action by the Owner in writing in a <br />separate document. <br />25.17. The weekly status report shall show the actual Work completed to date in comparison with the <br />original amount of Work scheduled, inclusive of information on the Subcontractors' Work and the <br />percentage of completion for the Project. The report shall describe major milestones achieved and <br />slipped, including a discussion of each slippage. In addition to schedule information, the report <br />shall contain an overall summary of the financial status of the Project with a cost control report <br />with proposed solutions for resolution of any cost concerns or issues. The report shall contain a <br />summary statement on the status of change orders for the Project inclusive of potential change <br />orders, approved change order and rejected /voided change orders as well as change orders which <br />require the Owner's immediate attention. The report shall contain a summary statement as to the <br />status of shop drawings, submittals and RFI's for the Project inclusive of items requiring the Owner <br />and/or the Project Designer's immediate attention. The report shall contain a summary statement as <br />to the status of quality control /inspections for the Project including, but not limited to, number and <br />type of inspections made, overall Project quality to date, and recommendations. Finally, subject to <br />the requirements of any OCIP, the report shall include an accident report. <br />25.18. If the Work is behind schedule, the CMAR must immediately provide written report of such <br />condition to the Owner and Project Designer and indicate in writing what measures are being taken <br />to bring the Work back on schedule and ensure that the contract completion date is not exceeded.
