Planning Board Minutes, December Hillsborough 732-8181 <br />1, 2004 Chapel Hill 968-4501 <br />• Planning Board Minutes, Durham 688-7331 <br />September 1, 2004 Mebane 336-227-2031 <br />• Planning Board Minutes, July 7, <br />2004 <br />PURPOSE: To consider revisions to the Planning Board Rules of Procedure to: 1) clarify the <br />agenda setting process, 2) clarify when a member is officially separated from the Planning <br />Board, 3) clarify Planning Board voting procedures; and other "cleanup." <br />BACKGROUND: The last time that the Planning Board reviewed the Rules of Procedure was <br />during the second quarter of 1996. The BOCC subsequently amended the Rules of Procedure <br />on June 26, 1996. Good administrative practice is to review the procedures from time to time <br />for updating and clarification, if necessary. Section 2.2.6 of the Zoning Ordinance requires that <br />the Board of County Commissioners adopt the Rules of Procedure and approve any revisions <br />thereto. <br />This update is to incorporate more specific guidelines in the agenda setting process, which will <br />set forth responsibilities and procedures for the regular meetings. [See new Section B of Article <br />VII-Meetings] <br />A second proposed revision is to clarify when a member is separated from the Planning Board. <br />These revisions will specify that termination of a member's tenure will occur upon either <br />replacement or the submittal, in writing, of a voluntary resignation. [See new Section number <br />6.4 under Article III -Members] <br />
