(Attachment B to Board - Approved Energy Management Plan Project Charter) <br />The information process will include a variety of methods for conveying project information to <br />stakeholders, such as: <br />• a dedicated project webpage; <br />• e -mails to stakeholders on our distribution list; <br />• paper mailing(s) to stakeholders (such as newsletters); <br />• news releases, guest articles in local papers; etc.; <br />• outreach presentations to interested community groups, including elected officials; <br />• social media (Twitter; any other social media that OWASA may decide to use in the <br />future); and <br />• announcements and presentations during televised Board meetings and other community <br />meeting(s). <br />The engagementldialogue process will include opportunities to ask questions, seek information, <br />and provide comments and feedback via a variety of methods, such as: <br />• participation at meeting(s) of the Board of Directors or its Committee(s); <br />• e -mail, letter, or fax at any time to the staff and/or Board; <br />• participation at project - related community outreach meetings; <br />• face -to -face meetings (either one -on -one or small groups) upon request; and <br />• feedback forms on the project webpage. <br />We will strive to provide at least two to four weeks for distribution and review of applicable <br />information before engagement /feedback opportunities at Board and Committee meetings when <br />the project is discussed. <br />The evaluation process will include: <br />• informal surveys of stakeholders (offered on the webpage, at outreach meetings, etc.) to <br />seek their feedback on the information and engagement opportunities we have provided; <br />• After Action Review by staff; and <br />• Board of Directors evaluation of the value of the engagement process for the project. <br />A summary table showing community engagement activities, target audiences, communication <br />methods, etc. is provided on the following page. <br />11 <br />
