2 <br />Indicor, Inc., the lowest bid for plumbing has provided documentation <br />to prove a good faith effort was made to contract with MBE suppliers, <br />however, their solicitations went without response. Indicor will <br />subcontract no work on this project. <br />The favorable construction market at this point in time has allowed <br />some funds to remain uncommitted in this project. The Architects have <br />recommended that some items be added back which were previously cut in <br />anticipation of the project exceeding the budget. These items total <br />$229,500 and are detailed on the attached Budget Update. <br />Upon Board approval, we will negotiate with the low bidders to add the <br />items which are applicable to their contract. The amounts to be added <br />will not exceed the estimates listed on the update from Hakan /Corley. <br />At this point, the projected costs are as follows: <br />Construction contracts $1,965,631 <br />Design Fees 235,300 <br />Testing (Concrete, steel, soil, etc.) 45,000 <br />Contingency (Approx. of total project) 125,000 <br />Voice /Data cabling /equipment 75,000 <br />Contingency for underground utilities, <br />unsuitable soils & rock 50,000 <br />Tree Maintenance of existing trees on site 3,000 <br />Zoning permit 3,000 <br />Additions as listed on letter from Architect 229,500 <br />Total project costs with Architect's additions $2,731,431 <br />Total project budget 21835,000 <br />Balance in project account $103,569 <br />The contract calls for a 365 day construction time of the new building. <br />There will be a two week period following new construction for the <br />Departments in the Tax & Records Building to be relocated to the new <br />facility; following which time renovation of the existing Tax and <br />Records Building will commence and will be completed in approximately <br />60 days. <br />If the Board approves the contract, contingent upon staff and attorney <br />review, it is anticipated that construction can begin in mid -July. <br />In order to ensure that work continues in an expeditious manner, it is <br />recommended that the Board authorize the Manager to authorize change <br />orders. A monthly report of any change order executed will be <br />submitted to the Board. <br />
