II <br />Position 46 Administrative Assistant II <br />• Observe daily customer service procedures for accuracy, performed by Office Assistant II. <br />Review for accuracy, work assignments performed by Office Assistant II as needed, <br />• Prepare and record each purchase order as needed for Department Head's signature and enter <br />into County's finance system, Enter each invoice into County's finance system, <br />• Calculate spending for each purchase order. Maintain knowledge of policies and procedures. <br />Enter payments (cash and checks) received daily into Wasteworks software, <br />• Prepare daily deposit and forward information to Revenue Department. Maintain knowledge <br />of policies and procedures. Enter Mixed Load Penalty Tickets into Wasteworhs software <br />monthly, <br />• Prepare bi-weekly timesheets according to county procedures. Schedule meetings as needed <br />for Solid Waste Advisory Board, Work Group and special meetings, <br />• Prepare mailings, personnel transaction forms and other documents as needed. Provide <br />clerical support to staff. Make arrangements (notices, minutes, meals, reservations, etc.) and <br />provide staff support for meetings, <br />• Assist in budget preparations and other special events or projects as necessary, <br />• Responsible for upkeep of personnel, purchasing/finance, and safety/accident files, Maintain <br />petty cash. Responsible for office equipment maintenance, ordering office supplies, janitorial <br />service, mail distribution, <br />• Assist Director in preparations on special projects relating to office operations. Keep Director <br />informed of complaints, problems or difficulties, and <br />• Provide citizens with general information regarding recycling and landfill operations via <br />telephone and in person, including responding to invoice inquires. Distribute recycling bins <br />to citizens as needed. <br />Position #7 Office Assistant II <br />Answer the phone and provide reception duties for the department. Provide information <br />regarding department services and programs to citizens. Record and give out recycling bins to <br />residents. Order office supplies. Distribute in-coming mail to staff. Record complaint calls <br />information into database. Follow-up with calls back to residents daily. Work with contractor <br />on problem areas. Maintain service complaint database. Prepare temporary timesheets. <br />Calculate monthly sick and vacation leave for each employee. Arrange an application packet for <br />temporary employees. Prepare Daily Deposit Slips and reconcile deposit reports. Enter <br />purchase requisitions. Provide clerical support to staff. Record and maintain "3-R" appeals file. <br />Prepare mailings and assist with special projects as needed.. <br />Position #8 Administrative Officer II <br />This position works with all landfill customers, especially credit customers, to perform all billing <br />for landfill accounts that generate nearly $300,000 in revenue monthly. Responsibilities include: <br />• Making sure the mechanics of billing, both content and appearance, are both appropriate and <br />accurate, This is done by constantly monitoring the transactions included in the statements <br />and working with customers, both fairly and accurately, to provide what they need to <br />correctly pay their statements,
