L � , <br /> 099 <br /> September 17, 1987 <br /> MEMO TO: County Commissioners <br /> SUBJECT: Computer Equipment Use by the Clerk <br /> FROM : R. Keith Brooks, Data Processing Manager <br /> In the preparation of the 1987-88 budget Orange County <br /> decided to reallocate several of the heavy word processing <br /> users from our mainframe computer to microcomputers. The <br /> Clerk to the Board uses word processing on the mainframe for <br /> the minutes, ordinances and regular office correspondence. <br /> The Clerk's office, and Planning, are the primary users on <br /> the mainframe for word processing. Currently the Clerk has <br /> three ports (connections) on the mainframe, two CRT's and <br /> one printer. In addition to the word processing the Clerk <br /> uses the mainframe for Information and Referral, Indexing <br /> the minutes, and keeping up with various Boards and <br /> Commissions. The following three options are ways to move <br /> some of this load off the mainframe to microcomputers. <br /> 1. The Clerk could move all functions to <br /> microcomputers but retain one CRT and the printer to use <br /> with the county-wide office automation system. This would <br /> require the reprogramming of those functions <br /> (Indexing,Boards and Commissions, Etc. ) which are not total <br /> word processing applications. It would also require the <br /> ability to transfer the data in the existing files <br /> (Ordinances, I and R, Etc. ) so the prior information can be <br /> saved. There are software packages on the market to do this <br /> and we are planning on having the capability in place by <br /> January, 1988. <br /> The Clerk would have two microcomputers, one CRT, one <br /> printer and part-time access to a shared micro on the third <br /> floor. The existing laser printer would be shared by the <br /> mainframe and the microcomputers. <br /> With this option, distribution of any data <br /> (minutes,etc. ) could be on diskettes. <br /> 2 . The only difference here is that the Information <br /> and Referral data base would stay on the mainframe. This <br /> system was designed to operate off the mainframe and since <br /> so many agencies were involved in the design of this <br /> function it may be required to leave it alone. The machine <br /> requirements would be the same as above except the Clerk <br /> would not need access to the third floor part-time micro. <br /> 3 . The Clerk could leave all functions except word <br /> processing on the mainframe. The maintenance of the <br /> ordinance files, the indexing of minutes, i and R and Boards <br />
