oa4 <br /> CMISCLIDATED BID MOMS <br /> I. Solicitation of Proposals <br /> 1. One advertisement is issued requesting proposals for repair to the <br /> roofs of both school systems. <br /> 2. The bid documents consist of: <br /> 7 a. one set of instructions to bidders and general conditions <br /> governing work to be performed for Orange County Schools and <br /> Chapel Hill-Carrboro Schools <br /> b. two sets of specifications: one for Orange County Schools' <br /> roofs prepared by their engineer, and one for Chapel Hill- <br /> , Carrtoro Schools' roofs prepared by their engineer <br /> c. a bid form requiring bids as follows: <br /> Part I: All Orange County Schools' roofs scheduled for repair <br /> Part II: All Chapel Hill-Carrboro Schools' roofs scheduled for <br /> repair <br /> Part III: A consolidated bid for repair to Orange County <br /> Schools' roofs and Chapel Hill-Carrboro Schools' roofs. <br /> II. Bid Award <br /> 1. Each school system shall accept the lowest bid for work to be per- <br /> formed on its roofs and enter into a separate contract with that <br /> bidder if the following condition exists: <br /> The consolidated bid submitted for repair to Orange County Schools' <br /> and Chapel Hill-Carrboro Schools' roofs is equal to or greater than <br /> the sum of the separate bids submitted (part 1 and part 2). <br /> 2. If the consolidated bid is less than the some of part 1 or part 2 <br /> then this bid shall be accepted by both systems and one contract <br /> shall be awarded with signatories being the Orange County Schools, <br /> the Chapel Rill-Carrboro Schools and the contractor. Acceptance of <br /> a consolidated bid shall require agreement to be reached between the <br /> Orange County School system and the Chapel Hill-Carrboro School <br /> System on the following: <br /> a. a common completion date for all work to be performed <br /> b. the means for assessing liquidated damages if work is not com- <br /> pleted on time <br /> c. that changes will be approved by the school system affected, <br /> however, prior approval by the Orange County Board of <br /> Commissioners shall be required if the amount of the change <br /> order is to exceed the available funds of the school system <br /> d. that payment shall be made to the contractor only after a joint <br /> sign-off by the engineer of each school system. <br />
