Consolidating the data <br /> collection through the CDP online system is designed to streamline the <br /> process and make it more effective and efficient for all of our study <br /> partners, including the Orange County Arts Commission. <br /> c. Once the initial phase of data collection from organizations has been <br /> completed,we will partner with the CDP to release a 10-question <br /> abbreviated version of the AEP5 Organizational Expenditure Survey to <br /> all remaining non-participants in a final effort to include them in the <br /> study analysis.This abbreviated version will require only aggregated <br /> totals for each category.Based on testing and feedback from previous <br /> AEP studies, it is estimated that the abbreviated version of the AEP5 <br /> Organizational Expenditure Survey will take no more than 5 minutes to <br /> complete. <br /> d. Detailed instructions for how to assist with this Organizational <br /> Expenditure Survey effort will be provided in the Study Welcome <br /> Packet that all study partners will receive in December 2015. <br /> Two additional actions may be required of the Orange County Arts <br /> Commission: <br /> i. A paper version of the abbreviated survey must be delivered to eligible <br /> organizations for which a valid e-mail address is not provided. It will be <br /> the responsibility of the Orange County Arts Commission to distribute <br /> and collect these paper surveys, and return them to Americans for the <br /> Arts for processing and analysis. <br /> ii. Additionally, it is likely that some of the eligible organizations will not <br /> respond to the requests to submit their information for the AEP5 <br /> Organizational Expenditure Survey via CDP or using the abbreviated <br /> version of the survey.Upon completion of the entire web-based data <br /> collection effort, it will be the responsibility of the Orange County Arts <br /> Commission to follow up with non-responding organizations to solicit <br /> their information using the paper version of the abbreviated survey or to <br /> enter the data into the CDP's AEP5 Organizational Expenditure Survey <br /> using another data source(e.g., grant applications)via authorized third- <br /> party access. Detailed instructions for following up with the non- <br /> responding organizations will be provided by Americans for the Arts. <br /> Conducting surveys of nonprofit organizations is a time intensive task. It is <br /> important that you be able to mobilize the necessary staff and/or volunteer <br /> labor to effectively complete the two requirements listed above.Each eligible <br /> organization on your list is important. We understand,however,that the full <br /> cooperation of your arts community may be unrealistic.We neither <br /> anticipate nor expect a 100 percent response rate.Economic impact is <br /> based on the number of dollars spent in your community, so we want to <br /> capture as many of those dollars as possible.For the purposes of the Arts & <br /> Economic Prosperity V study, an adequate participation rate can be <br /> characterized as having collected the required information from all of <br /> the large and mid-sized organizations on your list of eligible <br /> organizations (based on operating budget and/or total attendance),as <br /> 6 <br />
