particular to Orange County as this is a statewide program and the company responds with <br />upgrades and revisions in response to rule changes. Upgrades are provided at no additional <br />cost. .The .conversion of existing data is included in the cost. Of the two vendors in North <br />Carolina, this is the only vendor who has been able to successfully tie data in to the State <br />reporting system. Information technology staff and environmental staff have made visits to other <br />counties that have implemented this software solution and there are no concerns about its ability <br />to serve needs of this program in the foreseeable future. The ability to implement this system <br />"out of the box" and at a low overhead is attractive as both along-term and short-term solution. <br />The food and lodging inspection activities will require a minor integration with the Central <br />Permitting process. This potential, has been discussed with the Central Permitting planning <br />group and there appears to be no concerns with any duplication or conflict with that process. <br />With the implementation of this system, it is anticipated that staff will be able to accurately track <br />activities and inspection results with maximum efficiency and single entry of data. This will <br />increase responsiveness to our clients and ensure that establishments are not overlooked as is <br />the case with the current tracking system. <br />FINANCIAL IMPACT: First year cost for this software is $17,240. This includes all set-up, data <br />conversion, linkages to the State reporting system, and training for staff. The second year costs <br />are $10,240: The cost structure is in part based on the number of users of the system, so if the <br />number of staff members using the system is increased, costs will also increase (approximately <br />$1,225 per user). As new staff members are added, these costs will be considered as part of <br />the new position request. <br />Funds have been allocated in the Information Technology Department budget for fiscal year <br />2007-08 for this project, and maintenance fees will be added to future budgets. <br />RECOMMENDATION(S): The Manager recommends that the Board approve the purchase <br />agreement between Central Data Processing, Inc. and the Health Department for software for <br />the food and lodging program authorizes the Chair to sign the agreement subject to final review <br />and approval of the County Attorney. <br />
