ORANGE COUNTY <br />BOARD OF COMMISSIONERS <br />ACTION AGENDA ITEM ABSTRACT <br />Meeting Date: June 24, 2008 <br />Action Agenda <br />Item No. ~- - ~l <br />SUBJECT: Bid Award: Transportable Bleachers <br />DEPARTMENT: Purchasing and Recreation PUBLIC HEARING: (Y/N) No <br />ATTACHMENT(S): <br />Bid Tabulation <br />INFORMATION CONTACT: <br />Pam Jones, 245-2652_ <br />Lori Taft, 245-2673 <br />PURPOSE: To consider awarding a bid for a pair of transportable bleachers for the West Ten <br />Soccer Complex to Charron Sports of Liberty, South Carolina. <br />BACKGROUND: Funds were allocated in the West Ten Soccer Complex project budget for the <br />purchase of transportable bleachers. The bleachers will be used for the championship field and <br />will be placed on a cement pad overlooking the field. This pad will be handicapped accessible. <br />If necessary, the bleachers can be moved within the site to serve spectators on another field in <br />the event a championship game is scheduled there. The bleachers, cannot be moved to a <br />location off site without being disassembled. Each of the two sets of bleachers is 10 rows deep <br />and 24' long. The bleachers include guardrails and riser planks on rows 4 - 10. Each will seat <br />160 people. Specifications for these bleachers have been approved by the Planning <br />Department. The Gravelly Hill Middle School has bleachers for athletic facilities located there, <br />but they are not transportable. <br />Orange County's requirements were advertised on its website and four vendors were solicited <br />for Orange County's informal bid number 1534. Three vendors submitted bids. Pursuant to the <br />attached bid tabulation, Charron Sports of Liberty, South Carolina submitted the lowest <br />responsible bid that was responsive at a delivered cost of $33,656. <br />FINANCIAL IMPACT: Total purchase price, if approved by the Board, would be $33,656. <br />Sufficient funds were allocated within the West Ten Soccer Complex project budget to purchase <br />the bleachers outright. <br />RECOMMENDATION(S): The Manager recommends that the Board award a bid for two sets <br />of transportable bleachers at a total cost of $33,656 to Charron Sports of Liberty, South Carolina <br />and authorize the Purchasing Director to execute the necessary paperwork. <br />
