T ti s'�'Gc tom_ <br /> [Departmental Use Only] <br /> TITLE <br /> FY <br /> ORANGE COUNTY <br /> NORTH CAROLINA CONTRACT UNDER$10,000.00 <br /> THIS AGREEMENT, made and entered into this 8th day of March, 2013, ("Effective Date") by <br /> and between Orange County, North Carolina, a body politic and corporate organized under the laws of the <br /> State of North Carolina, (the "County"), party of the first part; and Allison Phillips (the "Provider"),party of <br /> the second part; <br /> WITNESSETH: <br /> For the purpose and subject to the terms and conditions hereinafter set forth, the County hereby <br /> contracts for the services of the Provider, and the Provider agrees to provide the following services to the <br /> County in accordance with the terms of this Agreement,time being of the essence: <br /> The services and/or materials (hereinafter referred to collectively as "Services") to be furnished <br /> under this Agreement are as foll=ows: <br /> • Solicit and book group business for Chapel Hill/Orange County hotels and meeting facilities <br /> and other venues, with a primary focus on booking hotel room nights in Chapel Hill with <br /> each group. <br /> • Solicit SMERF (Social, Military, Educational, Religious, and Fraternal) association, <br /> sports and small meetings market. <br /> • Under direction of Sales Director, work with UNC, Duke,NC Central, Medical <br /> Center, Chamber members, and local clubs and organizations to develop <br /> relationships and educate them regarding the Chapel Hill/Orange County hotels, <br /> facilities and community amenities. <br /> • Conduct direct sales efforts through sales calls, and participation in travel industry <br /> activity. <br /> • Plan and execute sales missions to Charlotte, Winston-Salem, Greensboro and other <br /> Triad cities as determined by Director. <br /> • Continue focus with North Carolina Society of Government Meeting Planners. <br /> • Produce monthly sales report for CVB Director, including minimum number of sales <br /> calls per days as directed. <br /> • Utilize CVB database (IDSS)to maintain accurate and detailed records of prospect <br /> leads,new business, sales calls,existing client interaction, and group servicing <br /> activity. <br /> • Produce detailed expense reports at conclusion of each travel mission or sales trip. <br /> • Handle pre-determined clients from initial contact through actual booking through <br /> the planning process and servicing to the conclusion of their meeting or event. <br /> • Research possibility of developing themes for"golf packaging"around Chapel Hill <br /> properties. <br /> The term of this agreement rendered shall be from March 15,2013 to September 14,2013. <br /> Provider represents and agrees that Provider is qualified to perform and fully capable of performing and <br /> providing the services required or necessary under this Agreement in a fully competent, professional and <br /> timely manner to the satisfaction of the County. Provider shall be responsible for all errors or omissions, in <br /> the performance of the Agreement. Provider shall correct any and all errors, omissions, discrepancies, <br /> ambiguities, mistakes or conflicts at no additional cost to the County.
