Describe the overall process your organizations uses to subgrant Grassroots money to <br /> other groups in your county. (max. 5000 characters and spaces) <br /> We offer grants in both Spring (state Grassroots funds)& Fall (county funds)cycles to develop high <br /> quality arts programs taking place in Orange County. Spring application deadlines are in mid-May; the <br /> OCAC board awards these grants at their June meeting. Fall application deadlines are in mid- <br /> November; the OCAC board awards these grants at their December meeting. <br /> Grants are offered to both nonprofit organizations, schools& individual artists(artists are paid with <br /> county funds only)to support programs in all art disciplines.Artistic excellence &the project's benefits <br /> to the citizens of Orange County are of utmost importance.All grants are matched at least dollar for <br /> dollar by the applicant. Our grant categories are: <br /> 1.Arts Program Grants-up to$1,500 to nonprofit organizations <br /> 2. General Arts Support Grants-up to$5,000 to nonprofit arts organizations.Applicants must have <br /> received an OCAC grant in each of the 3 previous years to apply in this category. <br /> 3.Arts in Education Grants- up to$1,000 to public or private nonprofit schools, or parent/teacher <br /> organizations <br /> 4.Arts in Education Coalition -up to$5,000 to 3 or more nonprofit schools or parent/teacher <br /> organizations <br /> 5.Artist Project Grants-up to$1,000 to artists(paid with county funds only) <br /> The availability of both Spring & Fall grants is publicized on our website, in our online monthly e- <br /> newsletter(emailed to our database),through articles/calendars in local newspapers, by email, and <br /> via social media.Verbal announcements are made at our sponsored events. Our grants are available <br /> online for downloading; hard copies are available at all Orange County libraries(Hillsborough, <br /> Carrboro, Chapel Hill), at the Chapel Hill Public Library, and at the OCAC office. Upon request,we <br /> distribute copies through regular mail. <br /> We offer free grant-writing workshops to potential applicants approximately 6 weeks prior to the <br /> application deadline.These workshops, generally held at area libraries, are well attended. Staff is <br /> available Monday-Friday(8:30 am-5 pm)to answer grant-related questions as needed by phone, <br /> email, or in person.We do seek out new arts organizations each cycle, particularly multicultural <br /> organizations, &encourage them to apply. <br /> Our grants committee consists of our entire 15-member board (serving as a"committee of the <br /> whole"). Our current board includes 2 African-Americans; the remaining members are white.We <br /> recommend interested volunteers to the Board of County Commissioners(BOCC)throughout the <br /> year as vacancies occur. Currently, our advisory board consists of 5 males and 10 females. <br /> Copies of submitted grant applications are distributed to all board members at least one week prior to <br /> deliberation. Established criteria for each grant category&a spreadsheet listing applications received <br /> by the deadline are distributed. Staff is present for information only; staff does not have a vote and <br /> goes not make recommendations.Artistic excellence is of utmost importance in our decision-making. <br /> A majority of our board members are artists. <br /> As indicated in our Policies & Procedures and in our Conflict of Interest Policy(updated annually), <br /> board members abstain from voting if they feel they have a conflict of interest with a grant applicant. <br /> Applicants are either funded fully, funded in part, or not funded. <br /> We prepare rejection letters&Grant Agreement Forms for applicants and arrange for payment based <br /> on OCAC board decisions. Checks are handed out by the BOCC twice per year at regular meetings. <br /> Announcement of grant recipients are sent to area newspapers, are included in our online e- <br /> newsletter and in the Grants section of our website. <br /> #DCP0004 Pa a 10 <br />
