Agenda Automation Questions
4) How would viewing hardware be handled?
Would Board members use their existing laptops and bring them to each meeting?
Would Board members prefer to use small screen touch pad devices, such as iPads?
How would Board members envision meetings with other deliberative bodies (Boards
of Health, Social Services, Planning; Quarterly Public Hearings; other local
governing bodies, e.g., Towns of Chapel Hill, Mebane, Hillsborough)? Would they be
compelled to bring laptops or would the County provide these? Providing access
devices beyond what is currently available could potentially cost more than the
system software and attendant servers.
Please share your thoughts on pros and cons of bringing your laptops to meetings
versus having equipment available for you at each meeting site. Also discuss how
you envision others (staff, the public and other governing bodies with whom you
meeT) would access agenda materials.
I have no experience with iPads so I cannot comment on preference. A demonstration
might be useful.
I would bring my laptop.
No, would not compel other boards to do anything different at this point. Can
encourage members of boards meeting with BOCC to access our digital materials and
bring their own devices if they prefer.
Laptops at regular meetings. with public can create a visual barrier when the screen is
up, a distinct disadvantage in current arrangements, particularly at DSS.
I have no interest in dealing with different machines at different locations.
I don't like the idea of having to bring a laptop to each meeting. I might have to leave
a laptop in a hot car all day, forget, etc. Of course, this makes it hard for the county at
present since we have multiple meeting areas. I am willing to do it for the short-term.
If we had a regular meeting area, I wouldn't mind brining a laptop to occasional
meetings such as those with the towns. I think an iPad might be too small but I have
no personal experience with an iPad.
I would hope that staff would also access agenda materials through digital media.
What to do about Planning Board members and Quarterly Public Hearings is a
question for which I don't have a clear response. I am not excited about the idea of
paying for equipment for all the Planning Board members simply for Quarterly Public
Hearings, but given that we also meet with other boards, we could perhaps have
laptops that are used for each of these special meetings. As for other governing
bodies, I don't think it is for us to determine how they access agenda material. If we
have digital media, then we can certainly offer them access to it. Most of the time it
is Orange County that develops the agenda. We could also offer the use of laptops at
5/10/2011 Orange County Information Technologies Page 5 of 14
