ORANGE COUNTY <br />BOARD OF COMMISSIONERS <br />ACTION AGENDA ITEM ABSTRACT <br />Meeting Date: October 20, 2009 <br />Action Agenda <br />Item No. ~[- - I <br />SUBJECT: Professional Services Agreement -Marketing by Jennings & Company for the <br />Visitors Bureau <br />DEPARTMENT: EDC -Visitors Bureau PUBLIC HEARING: (Y/N) No <br />ATTACHMENT(S): INFORMATION CONTACT: <br />Agreement Laurie Paolicelli 968-2060 <br />PURPOSE: To approve a professional services agreement for marketing communications <br />management with Jennings & Company for the Visitors Bureau. <br />BACKGROUND: On August 19, 2009, the Chapel Hill/Orange County Visitors Bureau Board of <br />Directors approved the 2009-2010 tourism marketing plan as presented by Jennings & <br />Company to allow the firm to continue its third consecutive year serving as the advertising <br />agency for the Visitors Bureau. Each year the board of directors reviews and approves the <br />scope of services, and a separate marketing committee meets with the company and executive <br />director twice a year. The advertising scope includes creative development, on-line marketing <br />and the use of paid advertising in newspaper, magazine and on-line sources. In accordance <br />with Orange County's due diligence practices and procurement, the account will be re-bid in <br />summer 2010 to allow Jennings and others to bid on the tourism marketing service provision. <br />FINANCIAL IMPACT: A total of $310,000 has been included in the Visitors Bureau budget for <br />these services. <br />RECOMMENDATION(S): The Manager recommends the Board of County Commissioners <br />approve the proposed agreement, authorize the Chair to sign the agreement, and direct that the <br />funds be encumbered in the 2009-2010 Visitors Bureau budget. <br />
